A PDF per visit is not a quality system

The report is the deliverable, so nothing outlives the visit. What a record has to do instead, and why the difference only shows up when someone asks what happened on a style.

Most brands inspecting overseas buy inspections the way you buy a taxi ride. You book a visit, someone goes, and two days later a PDF lands in an inbox. The PDF is the product. Once it is filed, the engagement is over.

That works until somebody asks a question the PDF was never built to answer. Which lines has this factory been failing on all season? Was the broken stitch we found in July the same one we found in March? Did the correction we agreed in May ever get verified?

The report is a snapshot, not a record

A report describes one moment. A record accumulates. The difference is not a matter of software quality, it is a matter of what the artefact is for. A PDF is addressed to a person; a record is addressed to a question that has not been asked yet.

You can tell which one you have by trying to answer a question sideways. If finding out how a defect was resolved means opening a folder, finding the right visit, and reading, you have reports. If it means opening the style and seeing the defect with its correction attached, you have a record.

What a record has to carry

Four things, and they have to be attached at the point of capture rather than transcribed afterwards. The finding itself, with the measurement or the photograph that established it. The person who found it and when. The correction that was requested, with a deadline. And the verification that closed it, or the fact that nothing closed it.

None of that is exotic. What is hard is the attachment. Evidence typed up later is not evidence of the same thing — it is a recollection of it, and it decays at the speed of staff turnover.

The test is a partner asking

The real cost of report-shaped quality is not felt during the season. It is felt when a retail partner, an auditor or a regulator asks what happened on a style, and someone opens a spreadsheet and starts reconstructing from documents that were never meant to be joined.

That reconstruction is the tell. If the answer has to be assembled, it was never recorded. A quality system is not the thing that produces the report. It is the thing that makes the report unnecessary.
